One group, sized to the event
Trio, string ensemble and full band are not separate acts. They are the same group with more or fewer players, so the sound scales to the room, the guest count and the moment: strings through a ceremony, a trio over dinner, the full band once the night opens up. Many events move between two of them across the day. How many musicians come?
It depends on the room and the moment, from a duo up to a full band with strings. Bigger is not automatically better: a room that is too small for the lineup in it sounds worse, not more impressive.
What does the venue need to provide?
Power, space and, for larger rooms, a sound system. The booking team sends the venue a technical sheet so this is settled between professionals rather than relayed through you on the day.
Who covers travel for the band?
You cover flights and accommodation for the booked lineup, and everything else sits inside the quote. The size of the lineup is the largest single factor in that cost, which is why it is worth deciding early.
How long does setting up take?
Plan on ninety minutes to two hours before guests arrive, more for a large lineup or a difficult load-in. A soundcheck heard by arriving guests is a soundcheck that started too late.
